What does an AI agency actually do?
The label covers a lot. Some agencies sell strategy decks, some sell a chatbot in a box, some build software. For a small business the useful kind does one thing: it finds the hours you lose to the same jobs every week, the quote typed at the kitchen table, the follow-up you meant to send on Tuesday, the job logged twice, and builds something that does those jobs for you with the tools you already have.
A product is the same for everyone. An agency starts with your week, which is why the first thing it does is not build anything at all.
The five jobs an AI agency does, in the order it should do them
Find where the hours go
A walk through your week, from the first enquiry to the paid invoice, writing down every step done by hand. It ends with the one job to automate first.
Scope it and price it in writing
What the tool will do, what it will not, what it plugs into, who owns it and what it costs, as a fixed written quote. Pricing before the audit is guessing.
Build the tool
The build sits on a model, in our case Claude by Anthropic. The agency's work is everything around it: your price list, your rules, what it sends on its own and what it drafts.
Wire it into what you already use
WhatsApp, email, the spreadsheet, the website form, the calendar. The test: does the quote arrive on your phone, and can you approve it with a tap on site.
Train, hand over, stay reachable
You and whoever answers the phone are shown how it works. Then the agency stays reachable, because the price list changes and the tool has to change with the business.
And one thing it should not do
Sell you a website chatbot before it has looked at anything else. For most small businesses the hours are lost after the enquiry arrives, not before.
Custom AI agents or a chatbot: what a Dublin business actually gets built
These come up in almost every audit of a trade or service business. Each is a tool on its own, built around your rules, and the first one is chosen by how many hours it gives back.
A quoting assistant
Reads the enquiry, checks your price list and drafts the quote for you to approve from your phone.
A follow-up engine
Chases the quotes nobody answered, on the day and in the words you set, and stops when the customer replies.
A job tracker
Logs each enquiry once, from WhatsApp or email, and shows what is quoted, booked, done and paid.
A weekly report
Pulled together from the tools you already use, so the numbers arrive without anyone keying them in.
A website chatbot, only where it fits

What it should cost to find out
There is no price list for custom work. There is a fixed written quote, and it should come quickly.
A quoting tool for a one-van business and a set of tools for a company with an office and a crew are different jobs, so there is no rate card. What you can expect is a fixed written quote once the agency has seen where the hours go. We send one within 24 hours of a brief.
Judge the quote against one number: the hours a week the tool gives back, multiplied by what an hour of your time is worth on the job you would be doing instead. If the agency cannot say which hours those are, it has not done the audit.
What we build is on the custom AI page. If the site itself is where the enquiries are being lost, start with the free website audit instead.
How we do it from Dún Laoghaire
We are a web design and SEO company first, and the sites we build bring in the enquiries: one client's site took 65 enquiries in a month, counted as phone taps, WhatsApp taps and quote forms. Every one of those is a conversation somebody has to have, and that is the work our custom AI builds take on.
The audit
A walk through your week on a call. Where the hours go, written down, and the one job to take on first.
The quote in writing
Scope, price, what it plugs into and who owns it, fixed and in writing within 24 hours of the brief.
The build on Claude
Built on Claude by Anthropic, with Anthropic's certification in building with it, around your price list and your rules.
Wired in and handed over
WhatsApp, email, your spreadsheets and your website, whether we built the site or you already had it.
How to tell an AI agency that builds from one that resells
Put these to any agency, us included, and get the answers in writing before the first payment.
Which model does it run on?
And what happens to the tool if that supplier changes its terms.
Who owns it when the work is done?
The tool, the prompts and the price rules, and whether you can take them elsewhere.
Where does my customers' data go?
Who can see it, and whether any of it is used to train anything.
What does it plug into on day one?
Named: WhatsApp, email, the spreadsheet, the website.
What does it send on its own?
And what it drafts for your approval, and how you move that line.
How will I know it worked?
The hours it should give back, written down before the build starts.
Questions about AI agencies
Is an AI agency the same as a chatbot company?
No. A chatbot company sells one product, the box on the website. An AI agency starts with where your hours go and builds the tool that returns the most of them, which is usually behind the scenes: quoting, follow-ups, logging jobs, pulling reports together. Sometimes the answer is a chatbot. More often it is not, and an agency that offers you a chatbot before it has looked at your week is selling the product it has rather than the one you need.
Do I need to be technical to work with an AI agency?
No. The agency handles the build, wires it into the tools you already use and shows you how it works. If you can send a WhatsApp and open a spreadsheet, you can use what a good agency builds. What you do need to bring is a clear picture of where the time goes in your week, because that is what gets automated first.
What happens to my customers' data?
Ask before anything is built. The answer you want is that your data stays yours, that the tool is built around the systems you already use rather than a copy of your records somewhere else, that access is locked to your business, and that nothing is sold or shared. An agency that cannot answer that in a sentence is not the one to hire.
How long does it take an AI agency to build something?
It depends on the job, and the answer is in the written quote: the audit comes first, the scope and the timing are put in writing, and the build follows. A single tool, a quoting assistant or a follow-up engine, is a short job. A set of tools wired into every part of the business is longer. What should never take long is the quote itself.
